RSVP and check in to events
RSVP tells your officers you're planning to come. Checking in records that you actually did. They're separate on purpose - attendance is what officers report on, and it's what earns your club points.
RSVP is not attendance
An RSVP is worth 2 club points; checking in is worth another 3. If you RSVP and never check in, your club keeps the 2 and your officers see you as a no-show.
On the iOS app
1. Find the event
The Calendar tab shows everything you're invited to across all your clubs. You can also open a single club and tap Events.
2. RSVP
Open the event and choose I'll be there! or Can't make it. You can change your answer up until the event starts.
3. Check in when you arrive
Open the event again once you're there and tap Check In. Some clubs instead have an officer scan people in, or display a QR code at the door.
4. If the event is geofenced, get closer
A geofenced event says "you must be near the event location to check in" and the button shows how far away you currently are. It enables itself once you're inside the radius - you don't need to do anything but walk closer.
On a web browser
1. Open My Events
At app.epichire.com, My Events in the top navigation lists everything you're invited to. Your club's Events channel shows just that club's.
2. RSVP
Click the event, then choose I'm Going or Can't Go. Your current answer shows at the top of the event and you can change it.
3. Check in
The Check In button appears on the event while it's running. If the event is geofenced, your browser will ask for location permission - you have to allow it to check in.
Geofenced events
Officers can draw a radius around the meeting location so only people who are actually there can mark themselves present. If you're a member trying to check in, here's what that means for you.
- You need to allow location access
- The check-in button watches your location while you have the event open. If you denied location permission, the button will tell you there's a location problem rather than how far away you are - fix it in your device or browser settings.
- Your location is only used to check you in
- EpicHire never stores your location and never asks for it outside of checking in to a geofenced event. It's used in the moment to work out whether you're inside the area your officer set, and that's all - we aren't tracking where you go, and your club can't see your location either.
- There is a small margin
- Check-in is accepted a short distance past the radius the officer set, so standing just outside the door of a room doesn't lock you out.
- See where the boundary is
- Tap the location on the event to open a map showing the check-in area, so you can see where you need to be.
- An officer can still check you in manually
- If your phone is dead or your GPS is misbehaving, an officer can add you to the check-in list by hand. Ask rather than giving up on the attendance credit.
