Create and review club forms
Forms are how your club collects anything structured - rush applications, interest forms, excused absences, event sign-ups. Answers come back in one place, you can score and annotate them as a team, and you can message a promising respondent without leaving the page.
Who can do this
Creating forms and reading submissions needs the Manage Forms permission - the app says so on the Forms page itself. Members can see and fill in forms without it.
Start from a template
Both apps open on a row of templates - Corporate Partnerships, Hiring Success, New Member Interest and Excused Absence - plus Custom Form to start from nothing. A template is just a head start; every question is still yours to edit or delete.
Decide who can see it
Every form has a visibility setting, and it's the one choice worth slowing down for. There are three:
- Visible to members
- Appears on your club's forms page. Members can find it and complete it there. The right choice for anything internal - an absence form, a committee sign-up.
- Private link only
- Hidden from the forms page. Only people with the link or QR code can open it. This is what you want for rush - the people filling it in aren't members yet, so there's nothing for them to find.
- Share with companies
- Shares the form directly with your corporate connections and makes it visible to recruiters across EpicHire. Read that twice before choosing it: this is the one option that takes your form outside your club.
On the iOS app
1. Open Forms
Open your club and tap Forms, or tap Add beside it to go straight to a new form.
2. Pick a starting point
Swipe the template row and pick one, or choose Custom Form.
3. Write the questions
Give the form a title and description, then add questions. Each one has a Question Type - short answer, checkboxes and so on - and a Required toggle. Arrows reorder them. The eye icon previews the form as a member will see it.
4. Choose its visibility
Tapping Create asks Form Visibility first. Pick one of the three above, then confirm.
5. Get it in front of people
A new form opens on its QR code. You can Download QR Code for a flyer, Copy Link, post straight to Instagram Stories, or Share In Channel to drop it into a club channel.
6. Watch responses arrive
Submissions list newest first with the school and how long ago they came in. Anything nobody has opened yet is badged New; anything your team has scored shows its average.
7. Read it and score it
Open a submission to read the answers on the Form tab, with the respondent's major, school and grad year at the top. Drag the slider at the bottom to rate them 0-10; Ratings shows what everyone else scored.
8. Leave notes for your team
The Notes tab is a running thread on that applicant, visible to your officers. Far better than trying to remember who said what at the end of a rush week.
On a web browser
1. Open Forms and pick a template
At app.epichire.com, open your club and click Forms. Start a new form runs across the top; Recent Forms holds what you've already built.
2. Build the questions
Set the title and description, then work down the questions. Drag the handle to reorder, and use the icons on each card to duplicate or delete it. Preview shows the member's view.
3. Set who can see it
Who should this form be visible to? offers the same three options. Choose one and click Save visibility.
4. Share it
Share form gives you a QR code you can download or copy as an image, plus a plain link. The QR is what goes on a rush flyer or a slide at the end of a meeting.
5. Work through the responses
Responses splits into New responses and Viewed responses, so nothing gets read twice or missed. Pick someone to see their answers, rate them 0-10, add notes, or Start Chat to message them directly.
6. Read the summary
Summary aggregates every question - how many answered, how many skipped, and each distinct answer with the people who gave it. This is the view that tells you what your applicants actually want, rather than making you read fifty forms one at a time.
7. Close it when you're done
The ··· menu on a form carries Share, Review Submissions, Download CSV, Edit, Close Form and Delete. Use Close Form at the end of an application window - it stops new responses without touching the ones you have.
Worth knowing
- Close, don't delete
- Deleting a form takes its submissions with it. Closing ends the application window and keeps everything - use it at the end of rush rather than clearing the form out.
- Rating works like career fairs
- Every officer gets one 0-10 score per submission, pooled into an average. It's the same model your company page uses to rate career fair attendees.
- Export what you collected
- Download CSV takes the whole response set out of EpicHire - useful for handing rush results to an exec board that wants a spreadsheet.
- Company forms are a different thing
- Forms sent to your club by a connected employer show up in Jobs & Opps, not here. This channel is your club's own forms.
- Club forms aren't job applications
- A job you post to your club board always sends applicants to an external link - you can't attach a form to it. Use forms for things your club itself runs.
- Changes appear everywhere immediately
- Editing or closing a form updates it for everyone who has it open, on every device, without them reloading.
