Roles and permissions
Roles are how EpicHire decides who can do what in your club. Almost every "why can't I see that button" question comes down to a missing permission, so it's worth setting these up properly once at the start of a term.
Who can do this
Editing roles requires Super User - the permission the app shows for full administrator access. Only give it to people you'd trust to run the club, because it grants everything else and bypasses channel restrictions.
Every club starts with Everyone
Everyone is the built-in role that all of your members hold, and its member count always matches your club size. It sets the floor: whatever you switch on for Everyone, every member can do. Every other role you create sits on top of it.
Roles are also ranked. Drag them into order in the roles list - the order decides which role wins when someone holds several, and a member's name color comes from their highest role.
On the iOS app
1. Open Roles
Open your club and tap Roles. It only appears if you hold Super User.
2. Review what you already have
Current Roles lists every role with how many members hold it - useful for spotting a role nobody actually uses. Tap Create Role to add one.
3. Name it and set how it shows
The Display tab holds the role's name and color, plus Leadership Team, Hide Role From Public Member List and Display Separately.
4. Switch on its permissions
The Permissions tab is one switch per permission, each with a description of exactly what it allows. Full list further down this page.
5. Put people in it
The Members tab gives you two ways in: Add Club Member to assign the role to someone already in your club, or Invite New User to hand out an invite that carries this role automatically.
On a web browser
1. Open Roles
At app.epichire.com, open your club and click Roles. Manage your roles lists each role with its member count and an Edit button.
2. Create a role and style it
Click Create Role, then set the Role Name and Role Color on the Display tab. The same tab carries Leadership Team, Hide Role From Public Member List and Display separately in chat members.
3. Set its permissions
The Permissions tab lists every permission with what it allows. Switch on only what the role actually needs - this is the whole point of having more than one role.
4. Add members
On Manage Members, search your club and tick whoever should hold the role, then click Add Selected. Role Invite Code at the top right generates a link that assigns this role to anyone who joins with it.
Club permissions
These control what someone can do to the club as a whole.
- Super User
- Grants access to ALL other permissions, including the ability to create user roles and control user permissions. Also bypasses all channel-specific permissions or restrictions.
- Manage Members
- Allows management of members: add, edit and remove users.
- Manage Events
- Allows creating, editing and deleting events.
- Manage Forms
- Allows managing forms.
- Manage Company Networking
- Send and accept company connection requests, message connected companies, and invite new companies to connect.
- Manage Communication Channels
- Allows creating, editing and deleting channels.
- Manage Club Page
- Allows editing your club's public page and club settings, and posting content.
- Manage Jobs
- Allows posting and managing job listings.
- Manage Announcements
- Allows posting announcements.
- Manage Posts
- Allows creating, deleting and managing pinned posts.
- Add Members
- Allows adding new people to the club.
- Manage Chapters
- For national organizations only: create and remove chapters, and fully administer any chapter's page, members and roles.
Channel permissions
These control behavior inside channels, and can be overridden on an individual channel.
- View Regular Channels
- See channels in the Regular Channels category.
- Send Messages
- Post in channels.
- Add Reactions
- React to messages.
- Manage Channel Members
- Add or remove members from private channels.
- Delete Messages
- Delete messages sent by other people.
- Pin Messages
- Pin messages in channels.
- View Regular Events
- See regular, all-member events.
Worth knowing
- What every member gets by default
- Through the Everyone role, a plain member can view and post in regular channels, react to messages, and see regular events. Everything else - adding members, the corporate channels, jobs, forms - is something you grant.
- You can't grant a role above your own
- Roles are ranked by their order in the list, and you can only hand out roles at or below your own rank. This is also why a roster upload asking for too senior a role is rejected outright.
- Hiding a role hides the member
- If someone holds any role marked Hide Role From Public Member List, they won't appear on your club's public member list at all - not just under that one role. Worth knowing before you use it broadly.
- What display separately does
- It splits the role out from everyone else in a channel's member list, which is how you get an officers group sitting above the rest. Both apps group the list this way.
- Every role can carry an invite
- Role Invite Code turns a role into a shareable link or QR code, so people arrive already holding it. Far less work than fixing roles by hand after a rush.
- Deleting a role is permanent
- Deleting a role can't be undone, and anyone holding it loses whatever it granted. Move people to a replacement role first. Everyone and the built-in roles like President can't be deleted at all.
- Officers are worth points
- Promoting a member to an officer role earns your club 50 points - and demoting them takes it back.
You can't lock yourself out of your own club
Your club must always have at least one role carrying Super User and at least one member holding it. EpicHire refuses any edit that would break that - turning Super User off on the last role that has it, deleting that role, or removing it from the last person who holds it. You'll get a message saying the change would leave the club with no admins, and nothing is saved.
So when a president graduates, grant the incoming one their role before taking it off the outgoing one. The order matters, and the guard is there precisely because doing it the other way round would otherwise strand the club.
